Privacy

What I collect, why I need it, who else touches it and how to get it back or have it deleted.

She Bee Style is a one woman business in Bendigo, Victoria. When you book a session or send me a message, your details come to me. Not to a call centre, not to a team.

The short version

  • I collect what I need to run your session and nothing else
  • I never sell your information and I never trade it
  • You only go on my email list if you tick a box asking to be there
  • Photographs of you are only taken and used with your written consent, and you can withdraw it
  • You can ask to see what I hold, correct it or have it deleted, at any time, and I will not ask you why

What I collect

When you get in touch or book

Your name, email address, phone number and the suburb or town you are in. If you fill in a form before a session, whatever you choose to tell me in it, which is usually about your lifestyle, your work, what you want from your clothes and what is frustrating you.

During a session

My working notes. For a Colour Session that is your palette and the observations behind it. For a Style Session it is notes on proportion, fit and what is already in your wardrobe. These exist so I can pick up where we left off and so your Style File is right.

I do not ask for or record health information, and you never need to give me any. If something health related comes up in conversation, because it often does at this stage of life, I do not write it down.

When you pay

What you bought, when, and how much. The payment itself is handled by Stripe, PayPal or Square, depending on how you choose to pay, and I never see or store your full card number.

When you visit the website

Standard technical information that every website receives, including your general location, your browser and device, which pages you looked at and how you arrived. This is covered properly in the cookies section below.

Why I need it

Every single reason, in full.

  • To confirm your booking and send you the details
  • To prepare properly for your session so the time is yours rather than mine
  • To make your swatch, booklet or Style File
  • To answer your questions and follow up afterwards
  • To take payment and keep the records the ATO requires
  • To send you emails, but only if you have asked for them
  • To work out which parts of the website are useful and which are not

That is the list. If a reason is not on it, it is not a reason I am using your information for.

Emails

Emails about your booking

If you book something, you will get emails about it. Confirmation, a reminder, what happens next. You cannot unsubscribe from these while you have a booking, because they are the booking.

The email list

Separately, I send an email now and then with something practical in it. You go on that list only if you tick a box specifically agreeing to be on it.

Every marketing email has an unsubscribe link at the bottom. Use it whenever you like. It will not affect anything else and I will not email you to ask why.

Photographs

I sometimes take photographs during a session. Never without asking first, and never without you signing a consent form that says exactly where the photo can appear.

  • Saying no changes nothing about your session, and I will not raise it twice
  • You can consent to some uses and not others, for example my own records but not social media
  • You can withdraw consent later by emailing me. I will remove the photo from anywhere I control, and I will tell you if there is somewhere I genuinely cannot, such as a post someone else has already shared
  • Photographs used in my working notes are not published anywhere

Who else handles it

I use a small number of services to run the business. Each one only receives what it needs to do its job.

ServiceWhat it does and what it sees
Ivorey Runs the website, the booking calendars, the forms and my email sending. It holds your contact details, your bookings and anything you typed into a form. This is where most of your information lives.
Stripe, PayPal and Square Take your payment and hold the card details. Which one is used depends on how you choose to pay. I see that you paid, what for and when. I never see your full card number.
Google Analytics Tells me which pages people visit and how they found the site. It sees your visit, not your name. I do not use it to identify individual people.
Meta, for Facebook and Instagram A small piece of code that tells Meta you visited, so I can measure whether my advertising works. Meta may connect that visit to your account if you have one. There is a way to opt out in the cookies section below.
My accountant and the ATO What you bought and what you paid, as part of ordinary business records.

Storage outside Australia

Several of these services store data on servers overseas, mostly in the United States. That is normal for software of this kind and it is close to unavoidable for a small business. By using this site and booking with me, you agree to your information being stored that way. If that is a problem for you, ring me and we will do the whole thing by phone and on paper.

What I will never do

Sell your information. Rent it. Trade it. Hand it to anyone for their own marketing. The only other time I would disclose anything is if the law required it.

Cookies

Cookies are small files a website leaves on your device. This site uses two kinds.

The ones that make it work. Remembering what you have filled in, keeping a booking form working across pages. Without these the site breaks.

The ones that measure. Google Analytics and the Meta pixel, described above. These are the ones you might want to switch off.

You can block or delete cookies in your browser settings, and you can turn off Analytics specifically with Google’s opt-out add-on. Blocking the measuring ones will not stop you booking a session.

How long I keep it, and how it is kept

How long

Anything with a financial record attached is kept for seven years, because the ATO requires it. Your session notes and palette are kept while you are a client, so that a future session builds on the last one rather than starting again. Enquiries that never became a booking are deleted after about two years.

You can ask me to delete any of it sooner, and I will, apart from the financial records I am legally required to hold.

How it is kept

Digital records sit in password protected accounts with two factor authentication turned on. Paper notes are kept at my home and are not left in the car or on a table at a session. Nobody else works in this business, so nobody else has access.

No system is perfect, and I would rather say that plainly than promise something no one can promise. If something ever went wrong in a way that could seriously harm you, I would tell you, and I would tell the Office of the Australian Information Commissioner.

Seeing it, changing it, deleting it

Email me and ask. That is the whole process.

  • Ask for a copy of what I hold about you
  • Ask me to correct anything that is wrong
  • Ask me to delete it
  • Ask me to stop emailing you
  • Withdraw consent for a photograph

I will get back to you within a few days and sort it within thirty at the outside. There is no charge. I may ask a question to confirm it is really you, which protects you rather than me.

Where I stand legally

Under the Privacy Act 1988, most small businesses turning over less than three million dollars a year are not required to comply with the Australian Privacy Principles. She Bee Style is one of them.

I follow them anyway. You are handing over your name, your photograph and a fair bit about your life, and the size of my turnover is a poor reason to treat that casually.

If you are not happy with how I have handled your information, tell me first and give me a chance to fix it. If you are still not satisfied, you can take it to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
